Why we need to communicate about the EPR?
Effective communication with a wide range of stakeholders is crucial for successfully implementing the EPR across the three acute hospitals. By keeping healthcare staff and patients informed about the benefits and impact of the EPR, we create understanding, help people use the system and address concerns proactively. Transparent communication builds trust, enhances stakeholder engagement, and contributes to the smooth integration of the EPR into daily operations.
Who do we need to communicate with?
We will need to communicate and engage with various stakeholders about the new EPR system. This includes healthcare professionals such as doctors, nurses and allied health staff who will directly interact with the system in their daily workflows. Administrative staff who manage patient records and scheduling will also need to be informed and trained on the new system.
Additionally, it's important to engage with patients to inform them about how their data will be managed within the EPR and to address any concerns they may have about privacy or security. Furthermore, IT support staff and other technical personnel will require communication and training to ensure they can effectively maintain the EPR system. External stakeholders, such as colleagues in Primary Care and other providers, will also need to be aware of EPR news so they understand how it may impact them.
How will we communicate with staff?
Staff will learn about the EPR through various communication channels and events over the course of the implementation period. Regular in-Trust channels such as all staff newsletters, briefings, meetings and emails will be used to help share EPR news, updates and training information. This website, the EPR Hub is the central source of information for the programme and where people will be signposted for the latest news.
The EPR Programme has also adopted a dedicated communications platform called Tractivity to disseminate news and essential updates to staff via internal NHS email. This is because Tractivity can offer insights into open and read rates of messages allowing us to identify areas where information is harder to receive via digital channels and we should use other methods to communicate important news such as floorwalking, displaying posters and sharing ward briefings. By using Tractivity and its insights, we can tailor communication and engagement techniques to ensure all staff members feel well informed and involved in the EPR Programme which will ultimately help us successfully implement the new system and enhance patient care.
How will we communicate with the public and external stakeholders?
This website, the EPR Hub, will be the main source of information for the public and external stakeholders along with our social media account on X. We will also share news through public newsletters from each acute hospital, the ICB and ICS. There may be external events which we host as we move closer to the rollout of the new EPR, which we will promote and advertise across various channels so people can attend and find out more about the system. There may also be opportunities for external stakeholders to get involved in the design of the EPR, especially if there are some patient facing aspects, which we will share in due course.
