Wondering what the EPR means for you, your team or your patients?

These are the questions staff are asking us most often. We will continue to add to these questions in the coming months. Use the search box or scroll down to see the most common questions and answers.  If your question isn’t answered here, then get in touch.

  • Which hospital services will use the new EPR?

The EPR is a single system shared by Norfolk and Norwich University Hospitals, James Paget University Hospitals and The Queen Elizabeth Hospital King’s Lynn. Most hospital services will move to it at go-live. A small number of specialist departments will stay on their current systems at first, and we will confirm which ones as plans are finalised.

  • Can I pull reports from the EPR, for example for quality improvement?

Yes, data entered can be reported on, and BI teams will continue to work with EPR data. Data teams will stream EPR data into a central data repository (the “data factory”), from which each trust’s BI team can pull reporting.
If you have more specific questions, please contact us at epr.communications@nnuh.nhs.uk

  • What is in the patient chart in the EPR?

The chart is the hub for all information about a patient, covering the current visit and previous ones. Imagine it as being the replacement for the ‘brown notes’, the patient notes you have and use on the ward currently. View the EPR demonstrations on this website for more information.

  • What is the acute status board in the EPR?

It's the main working screen for clinicians, described as the “doctor’s side” of MEDITECH. It holds the rounds list with key patient information at a glance: location, length of stay, special indicators, resuscitation status, current and visit problems, and the latest NEWS (early warning) scores. View the EPR demonstrations, such as an overview of the EPR system, on this website for more information.

  • How does the EPR link with the NHS Spine?

It is configured to do a PDS trace, pulling through existing demographics for you to select from. If a PDS search was done in the last seven days it won’t repeat it, and current inpatients aren’t prompted every time. Staff are still expected to check information as they do now. View the EPR demonstrations on this website for more information.

  • Will community and external staff have access to the EPR?

We know that community and external staff having access to patient records is critical to support patient flow. They will have EPR access that is comparative with their current access to digital systems.

  • What devices will I be using with the EPR?

Our MEDITECH EPR works wherever you can open a web page. The system is device agnostic, so it will work from a phone, a tablet, a desktop and so on.
If more or different devices are needed in your area, this will be considered in the device strategy.
Discussions about what suits clinical areas (such as delivery rooms) and community working are ongoing.

  • How will I log in to the EPR and what will I be able to see?

Access is single sign on and role-based, so you will be able to see what you need to see. Check out 'An overview of our EPR system' for an introduction to the look and feel of the system.

  • Will I be asked questions in the EPR?

Yes. The entire system is built on a combination of queries (questions) and some hide or expand depending on your answers, and extra queries appear based on demographics, such as pregnancy questions.

  • Can I create my own templates in the EPR?

The pre-built clinical documentation is fixed and cannot be changed or edited. However, there will be relevant mechanisms for customising text tailored to specific clinician groups, and relevant groups will have targeted training to use that custom function.
Subject matter experts from all three trusts were fully involved in the design of these documents, so it is fully expected that they are fit for purpose.

  • How do I place a referral in the EPR to another service?

A referral is now placed as an order and this will be covered in training. Do watch the demo to find out more.

  • Will the EPR replace existing referral processes and will all current referral types be available?

Yes, where those referral processes are already internal. Internal referrals are the only referral mechanism that is changing; they will move entirely to our MEDITECH EPR and come off ICE.
External referral processes will remain on the electronic referral service, so GPs and community reams referring in to our Group will do what they always did. Any referrals we make to an external provider will continue to be made in the mechanism they always have been. Take a look at 'The inpatient referral board in the EPR' demonstration on this website for more information.
